These Terms are an agreement between Traceline ("we", "us") and the business that uses it ("you"). By creating an account or using Traceline you agree to them. If you sign up for a company, you confirm you are allowed to accept these Terms for it.
1. What Traceline is
Traceline is a web app that helps specialty coffee roasteries run their operations: lots, roasting, cupping, sales, invoices and finance. It is for businesses, not for consumers or anyone under 18. We may improve or change features over time, and will give notice of any big change.
2. Accounts and teams
- Give us accurate information and keep your login secure.
- Each person on your team needs their own seat and login. Do not share logins.
- Admins decide who joins and what each person can see and do. You are responsible for what happens in your workspace.
- Tell us at [email protected] if you think someone has accessed your account without permission.
3. Free trial
New workspaces get a 14-day free trial with every feature, and no card is needed to start. If you do not choose a plan when the trial ends, your workspace becomes read-only until you do. You can still sign in to choose a plan or export your data.
4. Fees and payment
- Plans are Seed ($49 per month), Craft ($99 per month), Estate ($199 per month) and Custom (quoted). Annual billing is two months free. The current prices and what each plan includes are on the Pricing page.
- Subscriptions renew every month until you cancel. You can add or remove seats at any time, and changes are prorated.
- Payments are handled by Stripe. We never see or store your card number.
- If a payment fails we will let you know and try again. If it stays unpaid we may suspend your workspace until it is paid.
- We may change prices with at least 30 days’ notice. The new price applies from your next renewal after that.
- Prices do not include taxes. You are responsible for any taxes that apply to you.
5. Cancelling
- You can cancel any time in Billing & Plan. You keep access until the end of the period you have paid for.
- Fees already paid are not refunded, except where the law requires it.
6. Your data
- You own your data. We do not claim any ownership of what you put into Traceline.
- You let us store and process your data only so we can run, secure and support the service for you.
- You are responsible for what you enter, including that it is accurate and that you are allowed to use it. This includes your customers’ and suppliers’ details.
- You can export your data in CSV or JSON at any time.
- After you cancel, or your trial ends without a subscription, we keep your data for 30 days so you can come back or export it. After that it is deleted and cannot be recovered.
7. What you may not do
- Break the law, or upload anything unlawful or harmful.
- Try to get into other customers’ data, or attack, overload or probe the service.
- Copy the service by automated means (use the export features instead), reverse engineer it, or resell it.
- Use the invoice and reminder emails to send spam or to contact people you have no right to contact.
- Store sensitive personal data such as health or government ID numbers.
8. Public pages and email
Anything you publish on a public page, including public allocation pages and Journal entries, can be seen by anyone with the link, and publishing a Journal entry is permanent. Invoices and reminders are sent to the people you choose, on your behalf. You are responsible for having the right to publish and to contact them.
9. Other services
Traceline works with other services, such as Stripe for payments. If an Admin chooses to send invoices from their own Gmail account or their own domain, those services’ own terms apply too. These are optional and can be switched off at any time.
10. Support access to your workspace
To help you, a Traceline support team member may open your workspace for up to 15 minutes at a time. They must enter a reason, and every session is logged. While they are in, they cannot change your team, billing, workspace settings or integrations, or send email from your own email account or domain. By using Traceline you agree to this.
11. AI Manual Assistant
The AI Manual Assistant answers questions about how to use Traceline, using our product manual. Its answers can be wrong or incomplete, so check them against the manual. It is not advice about your business.
12. Not professional advice
Traceline gives you tools, not accounting, tax, legal or food-safety advice. Invoices, exchange rates, profit and loss, margins, roast-loss and yield figures, dispatch dates, and cupping and measurement results are worked out from the information you enter. Please check them yourself. You remain responsible for your own taxes, accounts and compliance, and for keeping your measuring instruments calibrated.
13. Availability and support
We work hard to keep Traceline running, but we cannot promise it will always be available or free of errors. We announce planned maintenance where we can. Support is by in-app ticket and by email at [email protected]. Billing questions go to [email protected].
14. Our software
Traceline, its software, design and documentation belong to us. While you have a subscription, you may use it for your business. If you send us feedback or ideas, we may use them freely.
15. Our responsibility
- Traceline is provided "as is" and "as available". To the extent the law allows, we make no promises beyond what is written here.
- To the extent the law allows, we are not liable for indirect or lost-profit losses, or for lost data.
- Our total liability for any claim is limited to the fees you paid in the 12 months before the claim.
- You are responsible for claims that come from the data you upload or from your misuse of the service.
- Nothing here limits any liability that the law does not allow us to limit.
16. Suspension and ending
We may suspend or end your access if you do not pay, break these Terms, put the service or others at risk, or the law requires it. We will warn you first where we reasonably can. You can stop using Traceline at any time. When access ends, your data is handled as described in section 6.
17. Changes to these Terms
We may update these Terms. For important changes we will email your Admin and tell you in the app before they take effect. If you keep using Traceline after that, you accept the new Terms. If you do not agree, you can cancel.
18. The small print
- These Terms and our Privacy Policy are the whole agreement between us about Traceline.
- If part of these Terms cannot be enforced, the rest still applies.
- Neither of us is responsible for delays caused by things beyond our control.
- We may give you notice by email or in the app.
- Traceline is offered in English and other languages. Other languages are machine-translated and may contain mistakes. If they differ, the English version applies.
- These Terms are governed by the laws of the country where Traceline is established, and disputes will be handled by the courts there, unless the law says otherwise.
